OFFICE of AGING & DISABILITY SERVICES
19 Hours/week, Part-Time, Non-Exempt
Position will work within the Office on Aging and Disability Services division assisting professional employees with data entry functions for mandatory reporting, quality assurance and special projects. Also serves as administrative support to the team by processing payments and bills, preparing deposits and scanning orders, preparing general correspondence, copying, filing, and mailing. Individual provides support in contacting emergency contacts for clients who are not at home to receive home delivered meals; documenting all actions related to this function. Individual will report directly to the Fiscal and Contracts Planner and will provide administrative support to management.
Essential Functions
- Enters information in appropriate database programs (SAMS, Microsoft Access)
- Conduct data validation and cleanup to ensure integrity of data
- Mails information as requested; prepares meeting packets for management
- Faxes, organizes, and files information as directed
- Actively participates in quality assurance projects
- Collates packets of information for distribution at educational programs
- Maintains confidentiality and adheres to established policies and protocols of the County of Somerset and the OOA&DS/ADRC
- Special projects may also be assigned as per the Executive Director and/or supervisor
- Must be flexible to meet the deadlines and requests
- Performs other duties as requested.
NOTE: The percentage of time for each task is dependent on the volume and workflow.
Essential Qualifications
- High School diploma or equivalent
- A minimum of two years’ experience in use of office equipment and data entry job functions
- A minimum of two years clerical and fiscal experience
- Must possess ability to read, write and communicate clearly in English
- Possess good organizational skills
- Must have excellent attention to details
- Recognize and report problematic issues related to job responsibilities
- Must be able to determine level of urgency and determine priority of work assignments and be willing to learn new tasks and perform same to meet the overall needs of the unit
- Ability to create and prepare reports for analysis of statistical data
- Proficient in use of office equipment as needed (fax, computer, printer, calculator, and copy machines) and Microsoft Office Suite
- Ability to work independently with minimal supervision
- Ability to independently commute to assigned work location.
